The controller relationship
Churchill Square Counselling is a multi-therapist practice. Churchill Square Counselling is responsible for information submitted through its website, enquiry forms and initial referral/administration process.
Once you are referred to and begin working with an individual therapist, that therapist is responsible for the personal and clinical information they collect and hold for their own therapeutic work. Churchill Square Counselling does not automatically hold or control clinical notes and therapy records kept independently by each therapist.
Information collected at enquiry stage
This may include contact details; preferred contact method; information you choose to provide about why you are seeking support; preferred therapist, therapy type, location, days or times; information needed to identify a suitable therapist; communications relating to the enquiry/referral; and website/cookie/analytics information.
Because people often describe why they are seeking therapy, an enquiry may contain health or other special-category information. Please provide only what you feel is reasonably necessary at the enquiry stage.
Why enquiry information is used
Information is used to respond to you; understand what support you are seeking; identify a potentially suitable therapist; pass your enquiry to that therapist where appropriate; manage initial administration; maintain reasonable enquiry/referral records; protect the practice and people using it; and operate and secure the website.
Referral to an individual therapist
Relevant enquiry information may be passed to the therapist you request or a therapist identified as potentially suitable so they can contact you and consider whether they can offer the service. Only information reasonably necessary for the referral should be passed on.
Once the therapist takes responsibility for the therapeutic relationship, their assessment, clinical notes, therapy records, communications and other client information are their responsibility. Data-rights requests about those records should normally be directed to that therapist.
Therapists who are members of the National Counselling and Psychotherapy Society (NCPS) work in accordance with its Code of Ethics, which you can read on the NCPS website.
Lawful basis and retention
Initial enquiry/referral information is generally processed because it is necessary to take steps at your request before a possible therapeutic agreement and because Churchill Square Counselling has a legitimate interest in responding to enquiries, administering referrals and operating a safe and effective practice. Legal obligation or vital interests may apply in particular circumstances. Special-category information receives additional legal protection.
Initial enquiry/referral information is kept only for as long as reasonably necessary for the enquiry, referral, administration, accountability and any relevant legal purpose. Each therapist is responsible for retention of their own clinical records.
Sharing information
Website/enquiry information may be shared with the therapist you ask to see or a therapist identified as potentially suitable, and with technology/service providers where necessary for website and administration. Information may also be disclosed where required by law, necessary for legal claims, or necessary and proportionate in response to safeguarding or serious risk.
AI within a multi-therapist practice
The AI and digital-tool safeguards below apply to Churchill Square Counselling's administration, website/content work and professional thinking carried out on behalf of the practice. Individual therapists remain responsible for how they handle information within their own independent therapeutic work.
AI and digital tools
Digital tools may be used to support administration, website/content work and professional thinking. Artificial intelligence may also be used as a supplementary thinking or drafting aid.
AI is not used to make clinical, safeguarding or other significant decisions about you. There is no solely automated clinical decision-making or profiling.
Identifiable clinical information is not deliberately entered into general-purpose AI systems. Where AI is used for professional reflection or to develop general therapeutic material, information is anonymised or minimised so it does not include names, contact details, addresses, workplaces, dates of birth, family names, client communications, session notes or distinctive identifying combinations.
The therapist or practice remains responsible for professional judgement, clinical decisions and the accuracy and appropriateness of material produced with digital or AI assistance. Clinical supervision remains the appropriate professional forum for ethical, clinical and risk decisions.
Service providers and international processing
Reputable third-party services may be used for website hosting, forms, email, practice administration, accounting, communications, analytics and other necessary business functions. These providers may act as processors on behalf of the relevant practice.
Some technology providers operate internationally or use infrastructure outside the UK. Where personal information is transferred or made accessible outside the UK, appropriate arrangements are used as required by UK data protection law, which may include UK adequacy regulations or approved contractual safeguards.
Personal information is not sold.
Keeping information secure
Reasonable technical and organisational measures are used to protect personal information. No electronic system can be guaranteed to be completely secure.
If a personal data breach occurs, it will be assessed promptly. The Information Commissioner's Office (ICO) will be notified where the law requires this, normally within 72 hours of becoming aware of a reportable breach where feasible. If a breach is likely to create a high risk to your rights and freedoms, you will also be informed without undue delay.
Your data protection rights
Depending on the circumstances and lawful basis, you may have rights to access personal information held about you; correct inaccurate information; request erasure or restriction in some circumstances; object to certain uses; receive certain information in a portable format where applicable; and withdraw consent where consent is the lawful basis.
These rights are not absolute. Some information may need to be retained or processed despite a request, for example where there is a legal, regulatory, safeguarding, insurance or legal-claims reason.
You also have the right to complain to the Information Commissioner's Office (ICO). Information is available at ico.org.uk.

It explains what these technologies are and why we use them, as well as your rights to control our use of them.

What are cookies?
Cookies are small data files that are placed on your computer or mobile device when you visit a website. Cookies are widely used by website owners in order to make their websites work, or to work more efficiently, as well as to provide reporting information.
Cookies set by the website owner are called "first-party cookies." Cookies set by parties other than the website owner are called "third-party cookies." Third-party cookies enable third-party features or functionality to be provided on or through the website (e.g., advertising, interactive content, and analytics). The parties that set these third-party cookies can recognize your computer both when it visits the website in question and also when it visits certain other websites.
Why do we use cookies?
We use first- and third-party cookies for several reasons. Some cookies are required for technical reasons in order for our Website to operate, and we refer to these as "essential" or "strictly necessary" cookies. Other cookies also enable us to track and target the interests of our users to enhance the experience on our Online Properties. Third parties serve cookies through our Website for advertising, analytics, and other purposes. This is described in more detail below.
How can I control cookies?
You have the right to decide whether to accept or reject cookies. You can exercise your cookie rights by setting your preferences in the Cookie Consent Manager. The Cookie Consent Manager allows you to select which categories of cookies you accept or reject. Essential cookies cannot be rejected as they are strictly necessary to provide you with services.
The Cookie Consent Manager can be found in the notification banner and on our website. If you choose to reject cookies, you may still use our website though your access to some functionality and areas of our website may be restricted. You may also set or amend your web browser controls to accept or refuse cookies.

What about other tracking technologies, like web beacons?
Cookies are not the only way to recognize or track visitors to a website. We may use other, similar technologies from time to time, like web beacons (sometimes called "tracking pixels" or "clear gifs"). These are tiny graphics files that contain a unique identifier that enables us to recognize when someone has visited our Website or opened an email including them. This allows us, for example, to monitor the traffic patterns of users from one page within a website to another, to deliver or communicate with cookies, to understand whether you have come to the website from an online advertisement displayed on a third-party website, to improve site performance, and to measure the success of email marketing campaigns. In many instances, these technologies are reliant on cookies to function properly, and so declining cookies will impair their functioning.
Do you use Flash cookies or Local Shared Objects?
Websites may also use so-called "Flash Cookies" (also known as Local Shared Objects or "LSOs") to, among other things, collect and store information about your use of our services, fraud prevention, and for other site operations.
If you do not want Flash Cookies stored on your computer, you can adjust the settings of your Flash player to block Flash Cookies storage using the tools contained in the Website Storage Settings Panel. You can also control Flash Cookies by going to the Global Storage Settings Panel and following the instructions (which may include instructions that explain, for example, how to delete existing Flash Cookies (referred to "information" on the Macromedia site), how to prevent Flash LSOs from being placed on your computer without your being asked, and (for Flash Player 8 and later) how to block Flash Cookies that are not being delivered by the operator of the page you are on at the time).
Please note that setting the Flash Player to restrict or limit acceptance of Flash Cookies may reduce or impede the functionality of some Flash applications, including, potentially, Flash applications used in connection with our services or online content.
Do you serve targeted advertising?
Third parties may serve cookies on your computer or mobile device to serve advertising through our Website. These companies may use information about your visits to this and other websites in order to provide relevant advertisements about goods and services that you may be interested in. They may also employ technology that is used to measure the effectiveness of advertisements. They can accomplish this by using cookies or web beacons to collect information about your visits to this and other sites in order to provide relevant advertisements about goods and services of potential interest to you. The information collected through this process does not enable us or them to identify your name, contact details, or other details that directly identify you unless you choose to provide these.
How often will you update this Cookie Policy?
We may update this Cookie Policy from time to time in order to reflect, for example, changes to the cookies we use or for other operational, legal, or regulatory reasons. Please therefore revisit this Cookie Policy regularly to stay informed about our use of cookies and related technologies.
The date at the top of this Cookie Policy indicates when it was last updated.
Where can I get further information?
If you have any questions about our use of cookies or other technologies, please email us at CSQ-Counselling@consultant.com.
